For shop managers and staff

Why your shop should be on it

Lookout is your centre’s shared incident log. It lives on your staff’s own phones, takes under a minute to use, and turns the thing you already do, telling someone when there is trouble, into something that reaches security, the other shops and the Gardaí.

What happens today

When someone lifts stock from your shop, what happens next depends on luck. Maybe you catch security on the radio, maybe you don’t. The shop three doors down gets hit by the same people twenty minutes later and never knew. If you ring the Gardaí, you are describing it from memory a day later. And the car that has been in the car park every time never gets joined up, because nobody is writing it down in one place.

What changes with Lookout

  • Security can attend. Tap “Happening now” and security and every other shop get an alert with your shop’s name while it is still going on.
  • The whole centre is warned, not just you. A group working the centre is logged the first time, and by the second shop they are expected.
  • Better reporting to the Gardaí. The incident is recorded at the time: type, what happened, value, the time to the minute, a description and any vehicle. When you ring it in you are reading from a record, and you note the PULSE reference against it.
  • A picture the Gardaí can use. Every Monday the centre sends the Garda liaison one brief of the week: which shops, which times of day, descriptions and vehicles that keep coming back.

What it asks of you

  • Staff scan the code on your shop’s sign-up sheet and join. Two minutes, once.
  • When something happens: the type of incident, what you saw, whether it is happening now, done. Add a description, a photo of the goods or a registration afterwards if you have them.
  • Nothing to install from an app store and no store Wi-Fi needed. It works on the phone your staff already carry.

The five rules

  • Describe appearance, never identity. No names, even if you know one.
  • No faces in photos. Photograph goods, damage or the scene.
  • Log for your own shop only.
  • Keep it in Lookout. No screenshots to group chats or social media.
  • Tell the centre when someone leaves, so their access is removed.

Who sees what

  • Staff of shops in your centre with a Lookout account: the centre’s incidents, so they know what is going on.
  • Centre security and management: everything at the centre, including CCTV stills that shops never see.
  • The Garda liaison: the weekly brief.
  • Your own head office, only if your retailer has asked for it: your store’s own entries, without photos.
  • Nobody else. Not other centres, not the public.

Questions

Straight answers

Does logging an incident in Lookout report it to the Gardaí?

No. If you want the Gardaí involved you make the complaint yourself, as you do today, and note the PULSE reference in Lookout. If anyone is in danger, ring 999 or 112 first. The incident still goes into the centre’s weekly brief whether or not you reported it.

Can I log something I saw in another shop?

No. Staff log for their own shop only. If you see something elsewhere, tell that shop or centre security.

How does my shop join?

Your centre has to be on Lookout first. The centre gives you a sign-up sheet, and staff join from their own phones and turn on alerts. The data-protection paperwork will be provided before the centre goes live.
